12 signs your roster is already an operational risk.

This is not a software evaluation. It is a quick way to spot when manual people administration starts to affect WFM, HCM and payroll.

  1. There are several "official" versions

    HR, Operations and Finance work from different files and nobody can confirm which one has the latest change.

  2. The manager is identified by name

    Reporting lines depend on matching text, accents or abbreviations instead of a stable ID.

  3. A transfer requires re-entry

    Changing client, campaign, site or team means updating several sheets or systems separately.

  4. There is no reliable effective date

    The file shows the current state, but not when it started or who authorized the change.

  5. Duplicates are found by chance

    One person can exist under different IDs and the system does not propose a controlled identity review.

  6. Offboarding does not reach everyone

    A termination can stay active in scheduling, access, billing or payroll preparation.

  7. Campaigns do not share one catalog

    The same client or campaign is written several ways and fragments reports, coverage and billability.

  8. Bulk changes have no preview

    Before publishing thousands of rows you cannot tell new hires, changes, errors, omissions and deactivations apart.

  9. Fixing an error erases the evidence

    The new value replaces the old one without keeping the reason, user, date or audit reference.

  10. KPIs do not share a period

    Headcount, attrition and billability are calculated on different cut-offs or formulas nobody can explain.

  11. Payroll receives exceptions late

    Leaves, returns, schedule changes or terminations are consolidated by hand right before the close.

  12. Scaling means more people checking spreadsheets

    Control grows by adding human reviewers, not repeatable rules, permissions and traceability.

How to read the result

0–2 signs: the process is still manageable, but it is worth documenting owners and formulas.

3–5 signs: there is already a risk of rework and inconsistent decisions across areas.

6 or more: the roster needs governance before adding more automation or AI.
