Certo People Operations · the people module of the Certo operations platform

Pre-payroll closes on the real roster, not yesterday's spreadsheet.

The roster is the real list of who works, on which shift and in which position. In Certo each person has one record. Every shift or position change carries an effective date and reaches schedule, attendance and pre-payroll on its own. And with My Certo nobody has to ask in a chat.

Per active employee, My Certo included. Start with one module. Certo Intelligence chases approvals and prepares the close, but never approves.

Illustrative scenario with fictional data · Effective-dated timeline

From a workforce change to pre-payroll close.

  1. One record per person

Role, team, supervisor and cost center live in the master roster, without reconciling separate versions.

  2. A change with an effective date

Each change records when it applies, who authorizes it and why. Previous history is preserved.

  3. Connected scheduling and attendance

The change reaches planning, schedules and attendance. Exceptions can be reviewed before close.

  4. A close backed by evidence

Pre-payroll uses the effective record and its history. Employees see schedules and requests in Mi Certo; accountable people still approve changes.

What changes: Ana's payroll is right the first time, and anyone can explain why.

Certo Intelligence reminds R. Meza to approve before Sep 14 · it never approves for him

What you can now answer
  • How many real overtime hours per area and shift?
  • Which shift changes repeat every month, and why?
  • What did the last close cost in corrections?

Four things that stop happening.

With one record per person and effective-dated movements, the close no longer depends on who copied what.

BeforeConsolidating the roster in Excel

One record per person feeds schedule, attendance and pre-payroll. Nobody copies the roster by hand again.

BeforeChanges that get lost

Every movement is scheduled with an effective date, an owner and a reason, and reaches where it needs to go on its own.

BeforePayroll claims

Pre-payroll prorates shifts, premiums and absences by date. What gets paid can be explained line by line.

BeforeThe chat as the system

Employees check their schedule and request changes in My Certo. The request is on record, not in a message group.

Certo Intelligence

Agents chase approvals and prepare the close. People approve.

Certo Intelligence reminds approvers, flags clock-ins that do not match the schedule and prepares pre-payroll with evidence. Decisions about people are always made by a person.

It never approves movements, changes salaries or closes payroll. A person does that.

From organizational structure to pre-payroll close.

Four capabilities share the same identity, permissions and audit trail.

RECORD

People Administration (AP)

Master roster, effectively dated movements, contracts, documents and multi-company structures.

WFM

Workforce Management

Forecasting, requirements, scheduling, adherence and intraday management connected to actual availability.

HCM

Human Capital

Skills, evaluations, development and succession without separating operational context from each person’s history.

PORTAL

Mi Certo

A direct employee experience for schedules, documents and requests under the same organizational security.

Reliability is not a promise. It is part of the model.

Critical metrics use deterministic rules. AI helps query, explain and detect signals; it never executes operational decisions without approval.

Effective dating

The system knows what was true in every period.

Organization isolation

Each company retains separate data, permissions and catalogs.

Auditability

User, date, reason and evidence accompany every change.

Gradual integration

Start with CSV or XLSX and connect systems when it creates value.

Frequently asked questions

Does Certo replace our HRIS?

Not necessarily. Certo can operate as the operational source for people and coexist with your HRIS or ERP through imports and integrations.

Can we start with Personnel Administration (PA) only?

Yes. The people record is activated first, and the other modules are added on the same identity without migrating data again.

What if our data is not clean?

Data Readiness diagnoses duplicates, identities and catalogs before onboarding and leaves a prioritized remediation plan.

Does it work for a single-site company?

Yes. People Operations is priced per active employee and works with one site and one shift. Additional sites, companies or countries are added to the same account when you need them.

Follow one person across your entire operation.

We use a case similar to yours to show how data flows from the roster into WFM, HCM and pre-payroll.
